Open a Tax Office: Software, EFIN & Bank-Ready Setup

Open a tax office · Operator runway

If you plan to open a tax office, treat launch as a project with dependencies—not a New Year’s resolution. Professional software, an EFIN path, PTIN hygiene for preparers, training, and (when you want them later) bank-ready paperwork all sit on a critical path you only partially control.

This guide is for open tax office operators evaluating an independent professional stack—software, EFIN, PTIN, training, and bank-ready paperwork in one checklist.

What “ready to open” actually means

When people say they want to open a tax office, they often mean “buy software and hang a sign.” Professional readiness is broader:

Pillar Ready looks like Not ready looks like
Identity & credentials Entity clear; preparers know their lane DBA/marketing name fights legal name
EFIN Active / in-process with runway “We’ll figure e-file in January”
PTIN Each preparer handled IRS steps that apply Shared numbers / borrowed profiles
Software TaxWise® or CrossLink® configured + trained Consumer DIY tool or untrained license
Support Human escalation path posted Ticket-only hope during peak
Bank products (optional) Docs staged; expectations soft “Guaranteed fee collection” fantasy

ProSoft Tech Solutions helps with the software partner path, onboarding, bank enablement via partner banks, and year-round support. ProSoft is not a proprietary engine publisher and not the bank or lender.

EFIN path: start earlier than you think

Electronic filing requires an Electronic Filing Identification Number and related enrollment. New applications need runway; existing numbers need entity verification.

Do not treat EFIN as “the software vendor’s job alone.” Your responsible officials, fingerprints (where required), and entity data are your workstream. A plan to open a tax office without an EFIN plan is incomplete.

PTIN hygiene for every preparer

Paid preparers often need a Preparer Tax Identification Number. Office tip: each preparer configures their own PTIN—no shared credentials.

Sequence PTIN chores before or during software user setup—not after the first live reject.

Bank-ready vs bank-enrolled

Many offices want partner bank products (for example refund transfers) to support fee workflows. Keep the language precise when you open a tax office:

Term Meaning
Bank-ready Entity docs, EFIN trajectory, and expectations are organized so you can pursue partner programs later
Bank-enrolled Partner bank/processor has approved your office under their rules—separate from a ProSoft demo or pricing form

Interest / demo ≠ bank enrollment. ProSoft helps with enablement via partner banks; ProSoft is not the bank or lender. Eligibility, fees, and timing are not guaranteed.

Refund transfers and related bank products are offered by partner banks and processors, not by ProSoft Tech Solutions. Programs are subject to partner approval and client eligibility. Fees (preparation and/or bank/product fees) may reduce the client’s refund. IRS and state refund timing are not guaranteed. Optional advances, when mentioned, are separate credit products. Where applicable, Member FDIC applies to the partner bank—not ProSoft. See bank products and bank product disclosures. Interest via demo form is not bank enrollment.

White-glove onboarding (soft go-live)

Onboarding should include discovery, configuration, role-based training, and dry-runs (happy path + reject path). Ask what “live” means in writing.

Soft timeline: Many offices go live quickly when EFIN, documents, and partner dependencies are clear; ~48 hours is typical when ready—not a guarantee. Name an internal software captain. Post ProSoft support before peak week.

See also white-glove onboarding for how ProSoft defines go-live in writing.

90-day runway before peak

A workable runway when you open a tax office:

  • Days 90–60: Entity hygiene; EFIN apply/verify; shortlist packages; draft fee script; NAP cleanup
  • Days 60–30: Package selection; onboarding kickoff; PTIN roster; training calendar; bank-ready docs if in scope
  • Days 30–14: Dry-runs; Google Business / local listings accuracy; supply checklist; support numbers posted
  • Days 14–0: Soft open with limited appointments; no full marketing blast until dry-runs pass

Franchise alternative framing (high level)

Some operators exploring how to open a tax office compare independent setups with franchise systems. Franchises can offer brand recognition and playbooks; they also usually bring fees, territory rules, and standards you do not fully control.

An independent path with TaxWise® or CrossLink® via ProSoft keeps branding and client fee conversations under your roof. The tradeoff is real ownership of setup quality, local marketing, and compliance basics. This page does not argue “franchises are bad.” It argues that independence is viable when EFIN, PTIN, software training, and support are lined up before volume arrives.

Ops checklist before you advertise

Print this before Google ads or door vinyl:

  • [ ] First paid appointment date written and shared with anyone who can veto
  • [ ] EFIN apply/verify status known (link EFIN guide)
  • [ ] PTIN roster complete for every preparer who will touch returns
  • [ ] Package selected on Pricing and training dates booked
  • [ ] Dry-run happy path + reject path signed off by software captain
  • [ ] Support numbers posted (ProSoft +1 (877) 268-6232)
  • [ ] If bank products are later-scope: bank-ready folder exists; staff script says interest ≠ enrollment; disclosures bookmarked
  • [ ] Privacy/Terms links live on your site properties where you collect leads
  • [ ] NAP consistent: PROSOFT TECH SOLUTIONS partner references match West Palm Beach address when cited

If two or more boxes are red, delay the marketing blast—not the training.

Mistakes that waste a first season

  1. Buying software with no training dates
  2. Treating EFIN as optional until January
  3. Sharing PTINs across staff
  4. Promising clients guaranteed refund dates or guaranteed fee collection via bank products
  5. Confusing demo interest with bank enrollment
  6. Marketing income guarantees (trust and compliance risk)
  7. Skipping reject-path dry-runs

Avoid those seven and your open looks like a practice—not a project still in setup.

Demo + EFIN readiness

Bring return mix, user count, states, EFIN status, PTIN roster progress, and whether bank products are a later priority.
